A 45-minute call. We collect your room list, rate plans, partner contracts, open reservations and guest list, as spreadsheets or exports from your current system.
Rooms, types, floors, rate plans with seasons, taxes, services, partners and contracts are set up and checked against your figures. Open reservations are imported with their deposits.
A trainer at your desk in Georgian or Russian. Reception in the morning, housekeeping at noon, manager and accountant in the afternoon, all on your real bookings in a practice copy.
You close the day in the old system. In-house guests and tomorrow's arrivals are already in Roomexa; the first night audit runs at 23:30 and the morning pack is yours.
Daily check-in call for the first week, and a review of the first week's audits and invoices with your accountant.
From Excel, paper or your current PMS
Past closed folios and old invoices stay in your old system or in an archive export; Roomexa starts with the balances as of go-live, which is what your accountant needs.
Three starting points, one destination
From Excel or paper
We give you three sheets to fill in: rooms, rates, partners. Open bookings come from your calendar. The first night audit is usually the first time the hotel's day balances to the tetri.
From another PMS
We take the exports your system offers (reservations, guests, rates) and map them. Contracts and the two-bill split are set up by hand with you, because no other system models them the same way.
A new hotel
No history to move. The setup wizard builds the hotel in an afternoon and the demo hotel lets the team practise before the first guest.
What hotels ask before switching
What does the migration cost?
Free for early-access hotels. Afterwards 500 ₾ for hotels up to 50 rooms and 900 ₾ above that, which covers the import and the checks; the on-site training day is 350 ₾.
Can we switch in high season?
Yes, but we recommend a quieter week: training lands better when the desk is calm. Batumi hotels usually switch in October or April.
What if the import has mistakes?
Before go-live you get a checklist to verify rooms, rates and open bookings in the practice copy. We fix what you find and import again; nothing goes live until you sign it off.
Can we go back?
Your data is yours: everything exports to Excel at any time. In the first month we also keep your old system's data untouched, so going back is a decision, not a problem.
