1. The service
Roomexa is a hotel management system provided online by [Company name] LLC. The hotel chooses a plan (Essential, Business or Group) and the number of rooms. The features of each plan are those listed on the pricing page on the day of signing.
2. Billing
- Prices are per sellable room per month, in lari, excluding VAT, with the plan minimum. Invoices are issued monthly in advance as rs.ge e-invoices and are due within 10 days.
- Early-access terms (50% for 12 months, free migration and training) apply to the first 20 hotels in Georgia that go live before 31 March 2027 and agree to be named as a reference.
- The plan price is fixed for 24 months from signing; afterwards changes are announced 3 months in advance.
3. Term and termination
Plans are monthly and renew automatically. Either side may end the subscription at the end of a month with written notice. On termination the hotel can export all its data for 60 days, after which it is deleted from live systems and from backups within 35 further days.
4. Data
The hotel owns its data. Roomexa processes it only to provide the service, as described in the privacy policy, and keeps a separate database per hotel with nightly backups.
5. Availability and support
- Target availability 99.5% per month, excluding announced maintenance windows outside 07:00–23:00 Tbilisi time.
- Support by phone and chat on working days 09:00–19:00, in Georgian, Russian and English; an emergency line for a system that is down, 24 hours.
- If availability falls below the target in a month, the hotel receives a credit of 10% of that month's fee on request.
6. Responsibilities
The hotel is responsible for the correctness of the data it enters, for its tax filings, and for the lawful use of guest data. Roomexa is responsible for the system working as documented and for the security of the hosted data. Neither side is liable for indirect losses; Roomexa's liability is capped at the fees paid in the preceding 12 months.
7. Law and disputes
These terms are governed by the law of Georgia. Disputes go to the courts of Tbilisi after an attempt at settlement within 30 days.
